Application Procedure for "Spring Homestay 2014"

1. Before applying
   Please read [IMPORTANT NOTES TO ALL APPLICANTS] before you apply.

 IMPORTANT NOTES TO ALL APPLICANTS (Please read without fail)
1. You cannot request which area you want to stay.
 
2. The homestay period cannot be changed and modified.
 
3. You are not allowed to go out alone at night.
 
4. The host families are not volunteer sightseeing guides. Your host family might not be able to take you to tourist attractions that you would like to go or to go.
 
5. If many students apply, the participants will be selected based on the documents submitted.
 
6. For cancellations on or after February 14 a cancellation charge of 1,000 yen will be applied, no exceptions. The applicant will pay the cancellation charge via bank transfer. The applicant is responsible for the bank transfer fee.
 
 If you apply with your friend(s):
1. Your friend(s) will not be able to stay with you at your host family's house.
 
2. It will not be possible for you and your friend(s) to be located with host families living in the same area.
 
3. You should spend the whole time with your host family, not with your friend(s).
 
4. Host families have no personal acquaintance with each other. It is not appropriate to spend time with your friend(s) whilst in the company of your host family.
 
 
Please read the following instructions carefully and prepare in order. For your convenience, download Application Checklist (Document A).
2. Preparing for application documents
1.

Your application requires 6 documents in total.

 1. Homestay Application Form for School (Document B)...1 page
 2. Contract of Agreement (Document C)... 2 pages in English, 1 page in Japanese
 3. Homestay Application Form for Student (Document D)... 2 pages
 4. Introducing your home country (Document E)...1 page

 5. A copy of both sides of your student card
 6. A copy of your passport

Download the forms and the agreement of the above forms (B), (C), (D) and (E).
 

Please fill out the forms legibly. If we cannot read your email address correctly, we cannot reach you.

 

3. Homestay Application Form for School (B) must be filled in by an official or member of staff from your school.
Important Notes to officials or staffs of universities/colleges (in Japanese)
 
4. Sign Contract of Agreement (C) and completely fill in Homestay Application Form for Student (D) and Introducing Your Home Country (E). Make a copy of them for your reference.

 

5. Make a copy of both sides of your student card.
 
6. Make a copy of your passport.
 
7. Mail the documents 1-6 to the Nagoya Homestay Volunteer Center. The documents must arrive the Nagoya Homestay Volunteer Center no later than Tuesday, January 21, 2014.

The incomplete documents or the documents delivered after January 21, 2014 cannot be accepted. 

After receiving the application documents, the Nagoya Homestay Volunteer Center will contact the person who filled in  Homestay Application Form for School (B) in order to confirm the details. By Thursday, January 30, the Nagoya Homestay Volunteer Center will inform you about the acceptance of your application via email.
 
3. Result notification
8. The Nagoya Homestay Volunteer Center will inform you about the result of application via email on February 14.   
*The Nagoya Homestay Volunteer Center cannot inform you of the result before February 14.
 
9. If you are permitted to join the program, please send an email reply or give a call to the Center by February 21. If you do not contact us, the application will be cancelled.
 
10. The Nagoya Homestay Volunteer Center will send the information of your host family around 10 days before the first day of homestay. Please contact the Center when you do not receive it by one week prior to your homestay period.

Please let the Center know as soon as possible if you cannot participate in the program.   For cancellations on or after February 14 a cancellation charge of 1,000 yen will apply - no exceptions. Payment should be made to the Nagoya Homestay Volunteer Center by bank transfer. You are responsible for the bank transfer fee.

 

4. Before coming to Nagoya
11. Read "Things to Keep in Mind during Your Homestay" enclosed to the letter from the Center.
 
12. You will pay the homestay fee in cash on the first day of your homestay. Please bring the exact amount.
 
13. Prepare what to introduce to your host family about your country (about one hour).  Do not forget to bring some items related to your country e.g. photos, traditional costumes to show to your host family.
 
14. Check your travel plans so that you will arrive at the Nagoya International Center Building in plenty of time.
 
15. Check where the Nagoya International Center Building is.  A map is available on the Nagoya International Center website.
